TierBot Privacy Policy

1. Information we process

Depending on how you use TierBot, we may process the following information.

2. Privileged Gateway Intent

TierBot requests Discord's privileged Guild Members Intent. We use member data only as needed to:

• determine whether a user remains a member of a server;
• inspect roles and permissions for access control;
• assign or remove configured verification and tier roles;
• manage testing queues, tickets, and active test sessions;
• restore active sessions after a restart; and
• respond when a member leaves or their membership information changes.

TierBot does not request the privileged Message Content Intent or Presence Intent. We do not use member data to build advertising profiles, track users across unrelated servers, or send unsolicited marketing.

3. How we use information

We process information to:

• provide verification, queue, testing, ticket, transcript, result, leaderboard, and role-management features;
• connect a Discord user with the Minecraft account they ask us to verify;
• retrieve public Minecraft profile information and update tier-list records;
• enforce command permissions and cooldowns;
• show relevant queue, ticket, result, verification, and leaderboard information to authorized server members;
• send service-related Discord messages or direct messages;
• detect errors, retry failed service operations, secure the service, and prevent abuse; and
• comply with applicable law and enforce our rules.

Where applicable, we rely on your request to use the service, our legitimate interest in safely operating community tier-list services, the legitimate interests of participating Discord communities, and compliance with legal obligations. Where consent is required by law, you may withdraw it, although doing so may prevent TierBot from providing features that require the information.

4. When information is visible to others

TierBot is designed for use within Discord communities. Information may be displayed as follows:

• queue panels may show queued users and testers as Discord mentions;
• restricted ticket channels may show the testee, tester, Minecraft IGN, region, game mode, preferred server, and test-related messages;
• result, migration, and verification channels may show Discord mentions, Minecraft IGN, region, game mode, and tier information;
• tester leaderboards may show Discord mentions and test counts;
• ticket transcripts are posted to a Discord channel configured by server administrators; and
• service-related direct messages are visible to their recipients and are retained by Discord according to Discord's systems and user controls.

Discord server administrators control channel permissions and decide which server members can access server channels containing this information. Users should not submit sensitive personal information in testing tickets or other TierBot inputs.

5. Service providers and disclosures

We may disclose information only as needed to operate TierBot, including to:

• Discord, for bot operation, interactions, messages, roles, channels, direct messages, audit-log reasons, and Discord-hosted transcripts;
• Mojang/Microsoft, to look up Minecraft account and profile information;
• Ashcon and PlayerDB, as fallback providers for public Minecraft account information;
• the TierBot tier-list backend, to create and update Minecraft player and tier records;
• Minecraft verification services operated for TierBot, to complete in-game account verification;
• Starlight Skins/Lunar Eclipse, when Discord retrieves Minecraft skin images used in embeds;
• our hosting, database, network, and infrastructure providers, to host and secure the service; and
• server administrators and authorized staff, where needed to operate testing, verification, moderation, and tier-list workflows.

We may also disclose information if reasonably necessary to comply with law, protect users or the service, investigate abuse, or complete a merger, reorganization, or transfer of the service subject to appropriate safeguards.

We do not sell personal information. We do not use personal information for targeted advertising, and we do not provide it to data brokers.

Third-party services process information under their own terms and privacy policies. Information sent through Discord may be processed in countries where Discord and its providers operate.

6. Retention

We retain information only while it is reasonably needed for the purposes described in this policy, subject to the following current behavior:

• active test and session records are normally removed when the relevant ticket or session is successfully closed;
• waitlist records are normally removed when a user leaves the waitlist or enters a test, but may remain until administrative cleanup if the user leaves the Discord server without leaving the waitlist;
• pending verification requests expire after approximately 15 minutes, although the associated database record may remain until it is replaced or manually removed;
• verified-account records remain until the account is unverified or the record is manually removed;
• cooldown records, tester statistics, Minecraft profile cache records, and panel metadata may remain until reset, replaced, or manually removed;
• failed tier-list API operations may remain until they succeed or are manually removed;
• ticket transcripts, test results, verification logs, migration logs, and leaderboard messages stored in Discord remain until deleted by authorized server administrators or us; and
• operational logs and backups may remain for the period reasonably required for security, recovery, and service administration.

Some records use Discord or Minecraft IDs rather than profile names. Deleting a Discord account does not automatically notify TierBot or remove every record associated with its former ID. You may request deletion as described below. We may retain limited information where required by law, needed to resolve disputes or abuse, or necessary to protect the service.

7. Data security

We use reasonable administrative and technical safeguards designed to protect information, including access-controlled Discord channels, role and permission checks, secret-based service authentication, and restricted access to bot credentials and infrastructure. No online service or storage system is completely secure, so we cannot guarantee absolute security.

If you believe TierBot has exposed information or credentials, contact us promptly and do not post sensitive details in a public channel or public issue.

8. Your choices and rights

You may stop future collection by no longer interacting with TierBot and, where available, leaving its queues or asking server staff to close an active workflow. You may also request access to, correction of, or deletion of information associated with your Discord or Minecraft account.

To make a privacy request, contact [lucnoxitybusiness@outlook.com] and include:

1. your Discord user ID;
2. the Minecraft IGN relevant to the request, if any;
3. the Discord server in which you used TierBot; and
4. a description of the records or action requested.

Do not send passwords, authentication tokens, or other unnecessary sensitive information. We may ask you to verify control of the relevant Discord account before fulfilling a request. We will respond within the time required by applicable law. Certain Discord-hosted messages or transcripts may need to be addressed by the relevant server administrator or Discord.

Depending on where you live, you may have additional rights, including the right to object to or restrict processing, receive a portable copy of certain information, withdraw consent, or complain to a data-protection authority.

9. Children's privacy

TierBot is not intended for anyone who is below the minimum age required to use Discord in their country. We do not knowingly collect personal information from a child who is not permitted to use Discord. If you believe this has occurred, contact us so we can investigate and delete the information where appropriate.

10. International processing

TierBot, Discord, and the service providers listed above may process information in countries other than your own. Where required, we use or rely on appropriate safeguards for international transfers. For information about Discord's processing locations and safeguards, consult Discord's privacy policy.

11. Changes to this policy

We may update this Privacy Policy when TierBot's features, data practices, or legal obligations change. We will update the date at the top of this document and, when appropriate, provide notice through the bot, its website, its repository, or participating Discord communities.
